Dates
Content Manager enables you to modify certain record dates.
- Search for and select the record(s) whose dates you want to modify.
- Right-click and click Property Editor. For details on updating properties, see Property Editor.
Available Date options
- Date Created - by default, the same as Date Registered.
However, when you check in an electronic document, you can select the option Change Date Created to Document Date.
This is usually the date that the document was last modified on the computer before being checked into Content Manager.
Example: You create a document on 07/03/2007 and modify it on 11/05/07.
Date created of the document in the operating system: 07/03/2007
Date modified of the document in the operating system: 11/05/2007
You check in the document to Content Manager on 13/05/2007.
Content Manager will use the date modified of the document in the operating system as date created:
Date Registered: 13/05/2007
Date Created: 11/05/2007
- Date Registered - the date that the record was first checked in to Content Manager.
NOTE: Only users with user type Administrator with appropriate user permissions can modify Date Registered.
- Date Due - date that the record is due to be completed.
This field can operate in conjunction with Action tracking and Workflow functions and can be automatically set by the attached Action or Workflow Activities
Any user can set it manually.
It could have a default period set on the Record Type.

- Date Published - date that the record was published to a Web page.
This field is updated automatically.
You can also use this field when you manually publish data - for example, when you extracted a document and converted it to .pdf format for distribution or when you send data to an XML format file.
NOTE:
- When you publish data, there is a Modify Date Published check box, which is selected by default. If not selected, the Date Published field will not be updated.
- Date Published field and Declassify On function - when a date is entered in a record's Date Published field, the Declassify On date for the record changes to the Date Created date plus the number of years in the field Declassify after a specified number of years in the Security dialogue box, which you can access by right-clicking a record and on the Security and Audit menu, clicking Security/Access and selecting the tab Declassify On.
- Manual Disposal Date - the manually set destruction date for the record(s).
Content Manager will use this date when the record does not have a Retention Schedule and also when it is later than the date Due for Destruction in the record's Retention Schedule.
You need Record Archivist permission to be able to use this field.
NOTE: Setting a Retention Schedule for a record does not clear this field.
If you do not want Content Manager to use this date instead of the date Due for Destruction in the Retention Schedule, clear it manually.
- Additional Fields with a Date or Date Time format
NOTE: Some date properties may not be available on the Property Editor, this depends on the user permissions, tasks allowed on the Record Type and whether a dependent field contains data - for example, if there is no Retention Schedule attached to the record, then the Destroy Date field will be unavailable.
