Security dialogue box

The Security dialogue box is part of a Location's properties dialogues. You can use it to set a Location's Security Level and Security Caveats fields.

  1. Right-click a Location, select Properties and on the Profile tab, click Security.

    The Security dialogue box appears. It enables you to specify security levels and caveats for the user.

    • Security Level - limits the Location to only those records that have the same or lower security level.

      Deactivated security levels can be assigned to users and appear with an X beside them.

      • Highest - assigns the highest security level and all caveats to the selected user.
      • Not Highest - available after you have clicked Highest.

        Removes the previously selected highest permissions.

    • Active Security Caveats - displays the assigned caveats and enables the Location to access records that have the same caveat
      • Add - to add caveats to the user from the list of available caveats.

        Inactive caveats are available, as well. Choose the Active Dates column in the Select From Security Caveats selection dialogue to see the caveat status.
        To assign a caveat to multiple Locations, you can also right-click the caveat and use the Locations menu. See Security caveats shortcut menu.

      • Remove - removes caveats that are assigned to the Location
  2. Click OK to save your changes, if you have made any, or Cancel to close the dialogue box without saving your changes.

    The selected Location's security settings will be inherited by any lower hierarchical levels attached to it, including Organisations (sub-units), Positions and staff.

NOTE:

  • Only caveats available from the user's profile will appear to that user. For example, when adding caveats to a record or displaying the list of available caveats for searching, you are restricted to the available ones for your profile. However, users will still be able to enter an unavailable caveat.
  • A user's security profile cannot be modified when the user has electronic documents checked out.
