Checking in files in My Files (OneDrive)

You can browse through the files available in OneDrive and also Check In files to Content Manager.

Click My Files displays all the folders and files available in OneDrive. The represents that the record is Managed In Place. The represents that the record is checked out to Content Manager.

If you have set polling interval to file content and a Check In Style is associated with your profile, then the content automatically gets filed into Content Manager using the Check In Style.

To check in content to Content Manager manually, perform the following:

  1. Navigate to Server side Content Manager app and click My Files on the left pane.

    A list of all the folders and files in OneDrive/Teams is displayed.

  2. Select the file or folder you want to Check In.
  3. Click More option and perform one of the following:

    1. For a file, click Check In and select the Record Type or Check In Style.

      If the required Record Type or Check In Style is not displayed, enter the Record Type or Check In Style name in the text box or click the KwikSelect and select from the list displayed.

      You can tag multiple files to capture in Content Manager. See Capturing multiple files.

    2. For a folder, click Capture In Content Manager and select a Check In Style.

      Type in the name of the Check In Style or click KwikSelect to display the list of available Check In Styles. If the required Check In Style is not available, click Create new Check In Style. See Creating new Check In Style.

      The files in the folder or its sub folder(s) will be Checked In to Content Manager as individual records using the selected Check In Style.

    The record entry form is displayed in the task pane.

  4. Complete the record entry form (see Record entry form fields for more details).

  5. Click Save or Manage In Place.

    A record is created in Content Manager and the record properties are displayed in the task pane.

Click Open and select Web Client or Content Manager from the drop-down to view the record in Web Client or Content Manager.

If the file is already captured in the Content Manager and an updated version of the file is available, clicking Check In creates a new revision of the record in Content Manager.

NOTE: For Manage In Place records, creating new revisions is handled by the Mange In Place store.

You have the option to unlink the record(s) from OneDrive and maintain them only in Content Manager. To unlink record(s), open the record(s) in Content Manager (see Viewing records in Content Manager). Right-click on the selected record(s) and select Electronic > Unlink OneDrive. The selected record(s) is unlinked from OneDrive and the record(s) is moved to Finalized state. For more details, see Content Manager Help.

NOTE: The Unlink OneDrive option is not available for Manage In Place records.

Click in the search box and type in the name of the file and press Enter to search for a file. Click Filter to sort the content. Select Checked Out Records from Menu to add records from Content Manager to a MS Teams.
