System Options Notifications page

IMPORTANT: If your organization or service provided has opted to use the Content Manager Administration client, not all Notifications options will be available in the Content Manager client. Options marked with a * will only be available in the Content Manager Administration client. See the Content Manager Enterprise Studio - Dataset setup and maintenance - Content Manager Administration client help for further information.

On the Administration tab, click System Options and select the Notifications page to set email notification options.

  • Email the assignee when a record is due to be returned - select for Content Manager to send email to assignees of records that are due to be returned. Content Manager sends a reminder when the date in the record field Due for Return By has passed, and a daily reminder thereafter. See Changing the Assignee Location.
  • Send email notification for to do items that require action - select for OpenText Content Manager to send reminder emails for To Do items - see To Do Items

  • Send notifications when new record requests are added - select for Content Manager to send request digests to the service location and all administrators of a service location when people request a record.
    A digest is a daily email that lists all requests due today and the following day, and Content Manager sends it at 6am.
    Additionally, when this options is selected, Content Manager sends an email notification about each new Medium or High priority request that it receives after the digest was sent.

  • Email record requestors when a receipt acknowledgement is required - when record receipt needs to be acknowledged, select for Content Manager to send an email to the requestor asking them to acknowledge receiving the record.
    This email has a .trf file attached, which the requester can open in Content Manager to acknowledge and therefore complete the request.
    It also contains a link to Content Manager Web Client to acknowledge and complete the request using a web browser instead.

  • Send email notifications relating to the document review process - this option will trigger email notifications if the document review feature is enabled.

  • Send email to assignee when a record is assigned - select this option to send an email to the assignee when a record is assigned to them.
  • Send consignment approvers a reminder every ... working days - set the number of working days to send the consignment approvers a reminder email.
  • Send email notification of security and user management events to* - use KwikSelect to set the Location Content Manager should notify when a security breach occurs.

    Content Manager sends a mail message to the selected Location.

    • Send email notifications when new users are automatically registered* - if Content Manager is set to automatically register a new user in the system when a login is attempted by a user that is not currently registered, a mail message is sent to the selected Location.
  • Send email notification when licensing issues detected* - configure to send an email about licensing issues based on volume count to the nominated person. The email is sent once every 7 days while the license is in breach. This warning email is sent once every 90 days while the license is approaching its limit.
  • Mail Processor Timer Interval (minutes)* - select the interval for processing the mail event.
