8.2 Editing a Workflow

You can edit a workflow that is in the published, unpublished, or in the edit state.

To edit a workflow:

  1. Click Catalog > Workflow.

  2. Click the workflow name listed on the Workflows page.

  3. (Optional) If you want to edit the workflow, click the Workflow Builder tab.

  4. (Optional) If you want to edit details such as name, description, or category of the workflow, click Overview tab. For more information, see Editing Properties on the Overview Tab.

  5. Save or publish the workflow.

  6. Close the window to return to the Workflows page.

8.2.1 Editing Properties on the Overview Tab

The Overview tab allows you to edit basic information about the workflow, such as the name and description of the workflow, the category to which it belongs, and its status.

The following list defines some of the fields on the Overview tab:

Status

Specifies the status of the workflows.

Active: The workflow is available for use in the application.

Inactive: The workflow is temporarily unavailable for use in the application.

Template: The workflow can be used as the basis for other workflows. Templates are not available for use in the application.

Flow Strategy

Select one of the following options:

Single Flow: One workflow is used with one recipient.

Flow Per Member: The recipient can be a group DN. When you select this strategy, the application starts a workflow instance for each member of the group, and each workflow can be approved or denied separately.

Single Flow Provision Members: The recipient can be a group DN. When you select this strategy, the application starts a single workflow instance for the group. The workflow spawns multiple provisioning steps (one for each member) within the single workflow. The workflow is approved or denied to the group as a whole, not for each individual member.

Category

Specifies the category in which the workflow belongs. Used for filtering workflows. You can add categories based on the requirement. To add categories, access Settings > Workflow Catalog > Category. For more information, see Add a Category or Process Type.

Process Type

Specifies the workflow type. Normal is selected by default. To add process type, access Settings > Workflow Catalog > Process Type. For more information, see Add a Category or Process Type.

Notify Participants By Email

If you enable this option, approvers are notified about pending approval tasks, and initiators are notified of workflow completion. For information on selecting an email template and customizing email template parameters, see Finish Activity.

Generate Comments

If you enable this option, the workflow engine generates comments as the workflow progresses. These comments are displayed under Monitoring > Actions.

Default Completion Status As Approval

If you enable this option, the default completion status of the provisioning request is considered “approved”.
