Holds
Content Manager enables you to create Holds for records. For this functionality to be available, the feature Holds must be selected in the System Options Features page.
Holds enable you to set up categories of records for disposition or to prevent any modifications of selected records.
Records in a Hold cannot be further modified until they are removed from the Hold.
See also the Holds configuration options in the System Options Miscellaneous page.
Content Manager also enables you to create external Holds for records, a feature of the Content Manager Software Development Kit (SDK). These Holds can only be removed and its records only modified or released by the external system governing the Hold, but not by using the Content Manager client.
TIP: Additional information on the SDK can be found:
SDK Documents - https://content-manager-sdk.github.io/Community/
Samples - https://github.com/content-manager-sdk/Community/
This is useful for instances when actions on records should not be undertaken due to other issues, for example, legal cases, entities under embargo etc.
Holds can be applied to Client and Matter records. See Clients and Matters Legal Structure.
To see whether a record is in a Hold, add the field Has Retention Hold(s) to your view pane.
See Modifying the view pane.
- When a record is in a Hold, many of the normal modify options are unavailable, for example, the Relate, Details and Electronic right-click commands
- You can add and remove multiple records to and from a Hold using the tag function.
You can also add and remove multiple Holds to and from a single record using the tag function.
- When the column Is in one or more Holds is in the record list pane, it will show the record's Hold status:
- If the selected record is not in a Hold, the column will display No
- If the selected record is in one or more Holds and all the Holds are set to Only prevents changes to the disposition of Records, then Yes and a yellow document with a standard hourglass appears
- If the selected record is in one or more Holds but at least one Hold does not have Only prevents changes to the disposition of Records selected, then Yes and a yellow document with a red hourglass appears
