Retention Schedules right-click menu

The right-click commands specific to Retention Schedules, available from Retention Schedule windows:

  • New - to create new Retention Schedules, either top level or lower level items.

  • Copy Schedule - to copy a selected Retention Schedule.

    See Copying Retention Schedules.

  • Set Active Date Range - to set the active date range that the Retention Schedule can be used with.
  • Security and Audit - for the security and audit functions:
    • Security/Access - to set up default Access Controls that will be applied to the records that have the selected Retention Schedule.

      See Access Control for further details regarding Access Controls.

    • View Rights - displays the security and Access Controls set for the selected Schedule, generic permissions for the current user and allowed tasks for the Schedule
    • Active Audit Events - to view the schedule history, for example, modifications
  • Replace References - replaces retention schedules that are in use with retention schedules that have come from Policy Centre.

  • Delete - deletes the schedule after you have confirmed your choice.

  • Move Schedule - enables you to move (tag & task) one or many schedules under a new parent schedule.

    When you move a schedule, it retains its original number and metadata.

    The only change is the parent schedule.

  • Reindex - to reindex all the text used in Retention Schedules.
    See Recreate word indexes.
  • Recalculate Triggers - to recalculate the triggers for the selected schedule.

    You should use this option when you have made changes to the triggers of a schedule.

    Content Manager will go through the records that have this schedule and recalculate their triggers to check whether the current record disposition is correct.

  • Send To - select from the commands:
    • Print Report - to print the schedule metadata details. Nominate a report layout for printing.
    • Print Merge - to select the data to send to a print merge file
    • Web Publisher - to select the layout templates for generating an HTML report
    • Export XML - to export the schedule details to an .xml file
    • Make Reference - to create a Content Manager reference shortcut to the schedule

    • Favourites - adds the schedule to your list of favourite schedules
    • Add To User Label - displays the user labels. Select one to apply to the schedule.
  • Remove From - to remove the schedule from your favourites or a user label
  • Show
    • Show Records - displays all records with the selected or tagged Retention Schedules
    • Show Classifications - lists all the Classifications with the selected Retention Schedule.

      Combined with the Classification right mouse button command Set Schedule, you can use this to replace a Retention Schedule with another.

    • Show Older Versions - displays all modifications of the selected Schedule. If a Schedule was used on record(s) and then modified after the records were disposed of, the schedule will be displayed in this list with it's previous settings, with the date and time it was used until appended to the Schedule Number field. The Date Superseded and the Superseded by fields can also be added to the View Pane to display this information.
  • Property Editor - click to display the Property Editor and update Retention Schedule properties. See Property Editor.
  • Properties - to view and / or modify the selected Retention Schedule's properties.
