Classifications shortcut menu

The right-click commands specific to Classifications from Classifications windows and dialogue boxes:

  • New
    • New Top Level Item - to create a new top level Classification.

      The Please enter number for new top level dialogue box appears first, followed by the New Top Level Item dialogue boxes. See Creating Classification top level items.

    • New Lower Level Item - to create a new child level from the selected level. See Lower level Classification numbering.

    • Copy classification - create a copy of a selected Classification and either create as a new parent (top) level item, or locate it within an existing parent (top) level Classification.
      • Locate the copy with the same parent classification - select this option to create a copy of the selected Classification as a new parent/top level Classification within the Classification structure.
      • Locate the copy within a new parent classification - select this option to create a copy of the selected Classification as a new Classification within the selected Classification.
        • Select the parent/top level Classification it will be copied to from the drop-down recently used list, or click the KwikSelect to search for the required Classification.

        NOTE: If manual numbering is used for the Level Number Pattern on the Classifications being copied to a new Parent Classification, if the number matches the child pattern of the new Parent and that number has not already been used, then the number will be copied. If there is an a mismatch in the child pattern or the number has been used, you will be prompted to allocate a new number to the copied Classification. This will pop up for all Classifications being copied that require a new number allocated.

  • Search - Refine Search - for a specific Classification as well as other search options.

    You can search by either Classification number or by Classification Word.

    You can also view only top terms or filter out Classifications that are not in use.

    • Jump - to jump up one level of the Classification hierarchy
  • Notes - add Notes to the Classification.
  • Set Active Date Range - set the dates the Classification is active for. See Active dates for items.
  • Top Level Numbering - to set the numbering pattern for top level Classifications.

    Enables you to manually edit the top level Classification number and/or set the top level starting number.

    The Classifications Top Levels dialogue box appears.

    • Click KwikSelect in the Start Numbering After field to display the Enter Formatted Number or Confirm Number dialogue box.

      Content Manager will use the numbers following the one you type here for new top level Classifications.

  • Set Schedule - to assign the default Retention Schedule for the nominated Classification.

    NOTE: A user with Record Archivist permission is permitted to do this in lieu of the Administer Classification permission

  • Update Auto-Classification - this option displays the Update Auto-Classification dialogue to modify the Auto-Classification details of the Classification. Can be used to update multiple Classifications, as well as a single Classification. See Updating Auto-Classification for details.
  • Approve - to approve the Classification for use. Available for a named approver, and when the Content Manager System Options - Classification page option Classifications need to go through an approval process before being put into use is selected.
    When the Classification has already been approved, Content Manager displays a message.

  • Unapprove - to set an already approved Classification to be unapproved again
  • Security/Audit -
    • Security/Access - modify the Access Controls for selected Classifications.

    • Default Record Security/Access - modify the default record Security and Access Controls that will be applied to all records created using the selected Classifications.
    • Copy Security/Access From - copy the security/access control settings from another Content Manager object of the same type being modified.
    • View Rights - displays the security and Access Controls set for the selected item, generic permissions for the current user and allowed tasks for the selected item.
    • Active Audit Events - to view the events that have occurred on the selected items, e.g. its movement history, as well as modifications and security breaches etc.
  • Remove Classification - to remove the selected Classification.

  • Move Classification - to move a Classification from one parent level to another
  • Reindex - to reindex all occurrences of the selected Classification.

  • Show Records - click to display all records that have the Classification associated to them.
  • Property Editor - click to display the Property Editor and update Classification properties. See Property Editor.
  • Properties - to view and/or modify the Classification's properties.

    The same dialogue box and tabs display as when creating new levels.
